Put the attendance app on your phone
Do this once. The app then opens from your home screen like any other app. The steps below are for an iPhone using Chrome.
- Open the attendance app with the purple button at the top of this page.
- Tap the share icon at the right end of the address bar.

- Tap View More in the row with Copy and Send to your device.

- Tap Add to Home Screen.

- Tap Add. You can keep the name WW Check-In. The app now sits on your home screen.
Safari: the share button is in the bar at the bottom of the screen, and the rest is the same. Android: in Chrome, tap the three dots at the top right, then Add to Home screen.
Why this SOP exists
Attendance and a photographed studio close-out matter more than the class itself, because they protect the trust Harbour Dance gives Eric and his team.
That trust took years to build and can be lost fast if people stop respecting the relationship. When an attendance list, a payment slip or a room photo is missing, Harbour has nothing to check. Every teacher and helper carries part of this, and this SOP says which part.
Priorities, in order:
- Attendance is taken and the studio is closed up with photos.
- Everyone has paid before class starts, and Eric sees the confirmation slips.
- Late arrivals are marked, not ignored.
Note for thought: handshakes are one of our most important standing procedures for team spirit and morale. See SOP 5.
This is a living document. Eric adds new SOPs as the season goes, and the version line at the end records each change.
Roles and assignments
Every group has named attendance takers, and every class also needs a lockup supervisor and a team spirit coordinator.

- Teacher in charge: starts and ends class on time, checks that the attendance takers are at their post before the first member arrives, and confirms the close-out is done before leaving.
- Attendance taker: keeps the group's attendance on the class kiosk, marks late arrivals, and checks that each member has paid.
- Lockup supervisor: locks up the studio and takes the close-out photos.
- Team spirit coordinator: runs the group's bonding and warm-up exercises that Eric creates.
- Eric: reviews payment confirmation slips and creates the team spirit exercises.
SOP 1: Before class
Before the first dance step, the attendance post is staffed and every member present has paid.
- Be at your post. Attendance takers and the lockup supervisor for your group arrive before members do.
- Open the class kiosk for your group and check that it loads. Use it only to take attendance.
- Check payment for everyone present. Everyone must pay before class starts. Ask anyone who has not paid to show their payment confirmation slip.
- Send each confirmation slip to Eric. He needs to see the slips, not just hear that someone paid.
- Start class only after the payment check is done. If a member has neither paid nor shown a slip, tell Eric before class starts.
- Brief the team spirit coordinator on today's exercise so it is ready when class begins.
SOP 2: During class
The attendance record is complete and honest by the end of class, including who was late.
- Record every member on the kiosk. Each attendance taker covers their own group and nobody is skipped.
- Mark late arrivals. Anyone who comes in after class has started is marked late.
- Say why we mark lateness. We track how we present ourselves to class, how that affects our progress, and team morale. Accountability while having a good time is the goal.
- Have the hard conversation. If lateness or any other issue keeps repeating, the teacher in charge or attendance taker talks to the member directly and tells Eric. We cannot be afraid of these conversations, because they are how the group reaches the next level.
- Run the team spirit exercise from the coordinator at the start of class (see SOP 5). Do the handshake whenever the moments in SOP 5 come up.
- Stay with your post. Attendance takers keep the record up to date until class ends.
SOP 3: Ending class and closing up the studio
No one leaves until the attendance is finished and the studio has been locked up and photographed. This is the most important step of the day.
- End on time. Groups A and C end class 5 minutes before the scheduled finish when Quill follows, so the next group can come in without delay.
- Finish attendance. Every member, including late arrivals, is recorded before anyone leaves.
- Lock up the studio. The lockup supervisor goes through the checks below for the studio you used.
- Take the close-out photos. The lockup supervisor photographs each item on the list as it is done.
- Confirm with the teacher in charge. The teacher confirms that attendance is done and the photos are taken before the team leaves.
Studios 4 and 5

Where the photos are sent is still to be confirmed by Eric.
SOP 4: Payments and records
Eric and Harbour can only rely on what is written down, so the payment and attendance records must exist and agree.
- Payment comes before class. Follow the payment check in SOP 1 every class.
- Slips go to Eric. Eric reviews every payment confirmation slip himself.
- Keep the two records matching. If someone is on the attendance list but has no payment or slip, tell Eric the same day.
- Do not fix records yourself. If an attendance entry is wrong, tell Eric what the correct entry is and let him change it, so there is a clear trail.
- Send questions about payments or program terms to Eric. If Harbour staff ask about payments, rates or the arrangement, say Eric will follow up with them.
SOP 5: Team spirit and handshakes
The handshake is one of our most important standing procedures for team spirit and morale. It never replaces attendance, payment or the close-out.
When we do it
- When we walk in the door and see someone.
- When we succeed in an exercise.
- When someone is struggling. We do not have to say anything: tap them on the shoulder and do a little handshake. It shows them someone is there and sees what they are going through.
How much
- Make a good effort to do it with someone you know and at least two strangers. The aim is to reach everyone every week.
Building the handshakes
- Watch the reference video. Everyone must watch it.
- Create at least two handshakes in the first class. Your group builds the base.
- Refine them every week with Eric until the group is happy with them.
- Prepare for the one-month test in early November 2026. One member does every handshake with every person as they come into class.
Expect it to feel silly at first. We think that by midway through the year we will love it. If we do not love it in January, we revisit it and can retire it.
If you feel embarrassed: reference the video. Professional athletes do things on camera that look silly, and they commit to them completely. Have fun being silly, because confidence in a silly move is what makes it cool, and that is part of hip-hop culture.
Team spirit coordinators
- Each group has one coordinator. Sterling covers B; A and C still need one.
- Eric creates exercises that blend team spirit, dance and movement awareness, so members bond, improve their dancing and warm up at the same time.
SOP 6: When something goes wrong
Tell Eric the same day about anything that touches attendance, payment, the studio or Harbour. These are the default responses until Eric changes them.
